  • Access to notebook data is limited to:

    • The notebook owner
    • Collaborators specifically invited by the owner

Notebook owners control collaborator permissions and determine the level of access granted to each user.

LabArchives does not share data between users without authorization. LabArchives staff may access data only when necessary to provide or support the service and are subject to background checks and confidentiality requirements.

All data remains the property of Rutgers University.

  • Yes. LabArchives allows you to share notebooks with collaborators outside Rutgers by inviting them and assigning appropriate permission levels, just as you would with Rutgers colleagues.

When sharing data externally, be sure to follow Rutgers data-handling policies, especially for regulated or sensitive information. Share only data that is appropriate for the intended recipient and compliant with all applicable requirements.

  • Individual files may be uploaded up to 16 GB per file, which accommodates the vast majority of research data. Most researchers will not encounter any overall storage limit during normal use.

If your work regularly involves files larger than 16 GB, contact the Rutgers ELN team at eln-help@oarc.rutgers.edu to discuss available options.

  • LabArchives provides a secure environment for regulated research data, including HIPAA-related data, and all Rutgers data is stored on servers located within the United States.

The platform maintains industry-recognized security certifications, including:

    • SOC 2 Type II
    • ISO 27001

    Data is encrypted both:

    • In transit
    • At rest

Whether LabArchives is appropriate for a specific dataset depends on the nature of the data and any applicable university, sponsor, or regulatory requirements.

If you plan to store sensitive or regulated data (such as Protected Health Information (PHI)) or have compliance questions, contact the Rutgers Information Security Office compliance team before storing the data. Additional review may be required.
