Accessibility Questions for RFP

When an RFP is used to solicit services or products, there are several important questions related to accessibility that should be asked:

  • Provide your organization’s policy statement on digital accessibility.
  • Who at your organization is responsible for accessibility compliance?
  • Do you have a designated accessibility representative to address issues or questions and provide oversight related to the accessibility of your product?
  • Does your product meet the Web Content Accessibility Guidelines (WCAG) 2.1, Level AA standards? And is it compliant with the US Section 508 Standards for Information and Communication Technology? Please describe and provide supporting evidence of the processes you follow.
  • Describe the extent to which your product is accessible to people with disabilities. Please include all common types of visual, hearing, motor, and cognitive disabilities.
  • Which assistive technologies on the Windows OS and macOS platforms do you test with in order to evaluate access for blind and visually-impaired individuals? Please describe and provide supporting evidence of your assistive technology testing process.
  • What automated and manual testing do you perform to test and evaluate applications for accessibility for individuals with disabilities? What percentage of your software development and QA testing team is focused on accessibility? Please describe your testing process in detail.
  • Does your product undergo accessibility testing prior to each major release? Describe how digital accessibility fits into your product development lifecycle and what is your release cycle (monthly, annually)?
  • Do you use a third-party accessibility evaluation company to verify your accessibility compliance? If so, are you willing to provide a copy of your most recent evaluation report?
  • If your product is not fully accessible, describe your accessibility roadmap for remediation including defects, fixes, and timelines.
  • Do you have documentation, for example a VPAT or audit results, to support your claims? If so, please attach it.
  • Include a demo video showing how your product conforms to the WCAG 2.1 AA standards and is accessible to users with disabilities.
  • Describe the process by which a user-reported accessibility issue is addressed.
  • What methods do you use to inform customers of accessibility errors?
