Below are ready-to-plugin “boilerplates” that one can include in their grant proposal related to REDCap.
Boilerplate language for Grants about REDCap installation and security
RedCap system: REDCap is hosted at the Rutgers ASB Data center and is housed in a locked and guarded data center. Entrance to the data center requires multiple levels of card-key access (main door, data center wing, machine room). The security of the data center is also monitored by a security camera system.
REDCap servers are guarded by multiple firewall and intrusion detection systems. All electronic connections to the REDCap environment are encrypted.
The REDCap production system is comprised of a web server front-end and a MySQL database server back-end. The web server resides in a demilitarized zone to ensure that survey participants are able to access REDCap surveys from any device connected to the Internet.
The MySQL server back-end resides in the protected subnet that is guarded by Rutgers-OIT maintained firewalls. The data stored in the REDCap MySQL database server can be accessed by the REDCap end users by logging into https://redcap.rutgers.edu and opening the REDCap project(s) that they have been granted access to by the owners of the projects. Only OIT administrators are authorized to access the back-end database server directly by logging into the virtual private network for the database server resides in.
Boilerplate language for Human Subjects Research Studies Using Electronic Consent in REDCap
The participant consent encounter will be conducted using a REDCap-based electronic consent form. The consent form has been developed in REDCap, a secure, web-based, HIPAA-compliant, data collection platform with a user management system allowing project owners to grant and control varying levels of access to data collection instruments and data (e.g. read only, de-identified-only data views) for other users. Potential participants will participate in the consent process by (select method):
- Being approached in-person at Rutgers University and accessing the REDCap survey via iPad or another portable electronic device and/or
- Self-initiated access of consent forms on personal portable electronic devices using posted QR codes or web-links on study posters, brochures, or websites. Self-initiated accessing of consent forms may occur at Rutgers University campus or at home.
During the in-person consent process, consent will be obtained by a member of the study team.
For self-initiated consent, contact information will be provided (email and phone) for prospective participants to contact a member of the study team with questions, prior to consent.
Participant signatures will be obtained using a (select method: typed name and electronic signature via mouse). Upon completion of the consent encounter, participants will be provided with a copy of the consent document by (select method: printing a pdf copy of the consent form, providing participants with a business card/brochure with the web link to the appropriate version of the consent, having participants provide home address for mailing of a hard copy of the consent, having participants provide an email address where a secure pdf copy could be automatically sent after consent submission).
