Migrating ScarletMail/ScarletApps data to another account


There are two different ways to migrate your ScarletMail information:

Google Transfer

Lets you transfer your ScarletMail data listed below to a personal Gmail account. The original files stay in your school account. Any changes you make to the copied files do not affect the originals.

How to transfer your data

  1. While logged into your ScarletMail account, go to Google's Transfer page.
  2. Enter the email address of the personal Google Account where you want to copy your content.
  3. Select Get code.
  4. On your personal Google Account, check your Gmail inbox for a confirmation email from Google.
  5. In the email, select Get confirmation code. A new tab will open with a code.
  6. On your ScarletMail account, go back to the "Transfer your content" page.
  7. Enter the code, then choose Verify.
  8. Select the content you'd like to copy, then select Start transfer.
  9. The copy process usually occurs within a few hours, but it can take up to a week. You'll receive an email once it is complete. 
  10. Verify that all data has been transferred correctly. 
  11. If the data is no longer needed in your ScarletMail account, delete it from there. 
  12. If you want to free up more storage space on your ScarletMail account, empty the trash in the relevant services on your ScarletMail account (Drive, Photos, etc...). 

Note:

To download data from your ScarletMail account that is not included in the list above (contacts, calendar, etc.) follow the directions below to download it via Google Takeout. You can then upload the files to the programs of your choosing.

Google Takeout

Allows you to download any and all of your ScarletMail data (files, email, contacts, calendar, photos etc.) following the steps below.

How to download your data

  1. While logged into your ScarletMail account, go to the Download your data page. Google products that have your data are automatically selected.
  2. Go through all the data available and uncheck any data you do not wish to download. For some sections you may be able to edit the options to select only some data for that section, as well as the file format it is exported to.
  3. Click Next Step.
  4. Choose your preferred Delivery Method, Frequency, File Type and Size. 
  5. Click Create Export.
  6. Once the export is complete you'll receive an email with a link to it's location depending on the Delivery Method chosen. 
  7. Verify that all data has been downloaded correctly. 
  8. If the data is no longer needed in your ScarletMail account, delete it from there. 
  9. If you want to free up more storage space on your ScarletMail account, empty the trash in the relevant services on your ScarletMail account (Drive, Photos, etc...).

Alternate download methods

Alternative methods to download the most common types of data from your ScarletMail account are listed below. 

Files

In order to migrate ScarletMail Docs to another service you will need to download all of your docs to your local computer then upload them to another service. Ensure you have a good internet peed on your local device. If you have a slow internet connection on your local device, you may try using the Computer Labs or the Virtual Labs as they may have a faster speed. 

To download your ScarletMail Docs do the following:

  1. While logged into your ScarletMail account, go to Google Drive.
  2. Select all the files that you wish to download. You can hold the Ctrl key on your keyboard while clicking multiple files to select many files at once. Or after clicking a file, hit Ctrl+A on your keyboard to select all files in your Drive. If you are using a Mac, use Cmd instead of Ctrl.
  3. Click the Menu icon in the top-right corner of the window to access More Actions.
  4. Click Download.
  5. Verify that all files have been downloaded correctly. 
  6. If the files are no longer needed in your ScarletMail account, delete it from there. 
  7. If you want to free up more storage space on your ScarletMail account, empty the trash in your Drive on your ScarletMail account.

This will download all of the files in your ScarletMail Drive to your local computer. From there you can upload to another service like Dropbox. 

Photos

You can individually or bulk download photos or videos you select to your local device to then be uploaded to another service. If you have a slow internet connection on your local device, you may try using the Computer Labs or the Virtual Labs as they may have a faster speed. 

  1. On your computer, go to Google Photos.
  2. Select the check mark for the photos or videos you want to download.
  3. Click More Options (three dots) and then Download
  4. Verify that all photos have been downloaded correctly. 
  5. If the photos/videos are no longer needed in your ScarletMail account, delete it from there. 
  6. If you want to free up more storage space on your ScarletMail account, empty the trash in Photos on your ScarletMail account.

You can also share your photos and videos with another Google account you own. When accepting the share on the other account you can opt to save the photos on that account as well. 

  1. On your computer, go to Google Photos.
  2. Sign in with your Google Account.
  3. Click Settings > Partner sharing Get started.
  4. Enter or select an email address for another Google Account you own.
  5. Select which photos to add to your shared account.
  6. Click Next.
  7. Click Send invitation.
  8. On your computer, go back to Google Photos.
  9. Sign in with the Google Account that you shared to.
  10. At the top left, click Sharing.
  11. Click the invitation you want to accept. Then, click Accept.
  12. At the top, click Settings > Partner sharing.
  13. Below Partner sharing, click on Save to Account to see options.
  14. Click Save.
    • All photos: Any photo in the partner sharing will be saved.
    • Photos of selected people: Select from your face groups. When Google Photos recognizes any of those face groups from your partner’s photos, it’ll save the photos automatically.
  15. Click Done.
  16. Verify that all photos have been transferred correctly. 
  17. If the photos/videos are no longer needed in your ScarletMail account, delete it from there. 
  18. If you want to free up more storage space on your ScarletMail account, empty the trash in Photos on your ScarletMail account.

It is important to remove the partner sharing once all photos have been transferred correctly.

  1. Click Settings > Partner Sharing.
  2. Click Remove Partner.
  3. Click Remove.

Emails

In order to migrate ScarletMail email to another email service you will need to configure an email program to access both your personal email account and ScarletMail account.

For instructions on how to set up an email program for your personal email account, please refer to your email providers documentation.

You will need your Google Apps Mobile Password (this is different from your Rutgers NetID password). The Google Apps Mobile Password will ONLY be used for accessing ScarletMail from a program like Thunderbird, Outlook, or mobile device. If you do not remember your Mobile Password you can change it by going to the NetID Management Page and clicking on the link Manage Your ScarletApps Mobile/IMAP/POP Password. You will be asked to log in with your Rutgers NetID and password and then you will be given the option to set your ScarletApps password.

After you have set up an email program for your personal email you will need to configure the program to connect to the ScarletMail account. The following documentation to help you with this procedure is listed below:

Now, you can start moving messages from your ScarletMail account to your personal email account. In many instances, you can simply click and drag messages from one account to the other. You can also select multiple messages at once by holding the Control key and selecting individual messages or simply by holding down the Control and the A key (or the Command and the A key on Macintosh) to select all of the messages in the folder. 

If you want to free up more storage space on your ScarletMail account, delete the transferred emails and empty the trash in Gmail on your ScarletMail account.

Contacts

In order to migrate ScarletMail Contacts to another service you will need to export your contact into a special type of file called a CSV file. A CSV file is simply a text file with your contacts separated by commas. This type of file is very simple to import into another email reading program.

To export your contacts do the following:

  1. While logged into your ScarletMail account, go to Google Contacts.
  2. Select one of the following:
    • A single contact: Check the box next to the contact name.
    • Multiple contacts: Check the boxes next to all the contacts you want to export.
    • All contacts: Check the box next to any contact and in the top left, click Selection Actions and then All.
  3. In the top left, click More actions and then Export.
  4. To back up your contacts, select CSV.
  5. To save your file, click Export.

This will create a file that can be imported into another email program or address book system.

Calendars

In order to migrate ScarletMail Calendars to another service you will need to export your calendars to a format called ICS. ICS is a standard format that most other calendar systems will understand.

To export your calendars do the following:

  1. While logged into your ScarletMail account, go to Google Calendar. Note: you can't export your calendar from the Google Calendar app.
  2. In the top right, click the Gear icon then Settings.
  3. In the menu on the left, click Import & export.
  4. Under “Export," click Export.
  5. A ZIP file will download to your computer.
  6. If you open the ZIP file, you'll find individual ICS files for each of your calendars.

This will create a file that can be imported into another email program or address book system.

You can migrate your files to a drive attached on your computer by utilizing Google Takeout

Migrate files to a different cloud service

You will need to first download the files using Google Takeout and then upload it to your storage option of choice. If you are uploading files to Box, instructions can be found on Box's Help Center. If you are uploading files to Microsoft OneDrive, instructions can be found on Microsoft's Support Page
